How to Use
Item Aging Tracker
Installation
Follow these steps to install Item Aging Tracker in your monday.com workspace:
- Visit the monday.com marketplace and search for "Item Aging Tracker"
- Click "Add to your account" to install the app
- Authorize the app to access your boards when prompted
- Once installed, the app will be available as a board view in all your boards
Adding the View to a Board
To start tracking item aging on a board:
- Open the board where you want to track item aging
- Click the "+" button next to your existing views (Main Table, Kanban, etc.)
- Select "Apps" from the view options
- Choose "Item Age" from the list of available app views
- The aging view will now appear as a new tab on your board
Understanding Aging Levels
Items are categorized into four aging levels based on how long since their last update:
- Fresh (Green) - Recently updated items, typically 0-2 days old. These items are actively being worked on.
- Warning (Yellow) - Items starting to age, typically 2-3 days since last update. Consider checking on these soon.
- Aging (Orange) - Items that haven't been updated in a while, typically 3-4 days. These may need attention.
- Critical (Red) - Items that urgently need attention, typically 4+ days without updates. Prioritize reviewing these items.
Configuring Thresholds
Customize the aging thresholds to match your team's workflow:
- Open the Item Aging Tracker view on your board
- Click the settings icon (gear) in the top-right corner
- Adjust the day thresholds for each aging level:
- Fresh threshold - Maximum days an item remains "fresh"
- Warning threshold - When items enter the warning zone
- Aging threshold - When items are considered aging
- Critical threshold - When items become critical
- Click "Save" to apply your changes
Excluding Statuses
Prevent completed or specific status items from showing aging warnings:
- Open the settings panel
- Find the "Status Exclusions" section
- Select which statuses should be excluded from aging calculations (e.g., "Done", "Completed", "Archived")
- Items with excluded statuses will not display aging badges
Weekend Exclusion
Optionally exclude weekends from aging calculations so items don't appear stale after a normal weekend break:
- Open the settings panel
- Toggle "Exclude Weekends" to enable this feature
- When enabled, Saturdays and Sundays will not count toward item age
Viewing Subitems
Track aging on subitems for complete visibility:
- Open the settings panel
- Toggle "Show Subitems" to enable subitem tracking
- Subitems will appear nested under their parent items with their own aging indicators
Customizing Displayed Columns
Choose which board columns appear alongside aging information:
- Open the settings panel
- Find the "Display Columns" section
- Check the columns you want to see (Status, Person, Date, etc.)
- Uncheck columns you want to hide
- Your selected columns will appear next to each item in the aging view
Tips for Best Results
- Regular updates - Encourage team members to update items when they make progress, even small updates reset the aging clock
- Review critical items daily - Make it a habit to check items marked as critical during daily standups
- Adjust thresholds to your workflow - Different teams have different paces. A 2-day threshold might be too aggressive for some projects
- Use status exclusions wisely - Exclude statuses that represent completed or intentionally paused work
